Who we are

These Terms & Conditions apply to catering services provided by Field to Fork Catering (“we”, “us”, “our”). By requesting a quote, booking services, or using our website, you agree to these Terms.

Definitions
  • Client / you: the person(s) making the booking and responsible for payment.

  • Event: the wedding or event for which services are provided.

  • Venue: the location where the Event takes place.

  • Services: catering, food preparation, and agreed service staff as set out in your confirmed booking.

  • Third-party suppliers: any supplier not operated by us (including hire companies).

  • Hire items: crockery, cutlery, glassware, linen and related items hired through Abbotts Event Hire (or another hire supplier where agreed).

Scope of services

We provide catering and related event food services as described in your quote and booking confirmation. Anything not expressly included in the confirmed booking is excluded.

Examples of items typically NOT included unless agreed in writing

  • Venue hire, bar service, entertainment, florals, décor, cake, photography

  • Table layouts, seating plans, place name cards

  • Tableware/linen hire costs (these sit with the hire company and/or client as set out below)

Quotes

Quotes are based on the details you provide (date, venue, guest count, menu choices, service style and timings). Quotes may be time-limited.

If the scope changes (guest count, menu, timings, service style, access), we may need to revise the quote.

Booking & confirmation

A booking is only confirmed when:

  1. we confirm availability in writing, and

  2. you accept the quote in writing, and

  3. any required deposit is paid by the due date.

Deposit

If the deposit is not received by the due date, we may release the date.

Payments

Balance payment

Additional charges
Additional charges may apply if agreed services change (e.g., extra hours, extra guests, access issues, late changes, additional equipment required). We will always aim to confirm any additional costs with you in writing.

Late payments

Guest numbers, menus & changes

Final guest numbers

You must provide final guest numbers by the agreed deadline.

If guest numbers increase after the deadline, we will try to accommodate but cannot guarantee we can do so (and additional charges will apply).

Menu changes

Menu choices should be confirmed by the agreed deadline.

Late changes may incur additional costs and may not be possible depending on supply and scheduling.

Dietary requirements & allergies

You must tell us about dietary requirements and allergies in advance and by the agreed deadline.

We take reasonable care with food handling and labelling, however we cannot guarantee a completely allergen-free environment, especially in mixed-use kitchens, venues, and supplier chains. If an allergy is severe, please inform us clearly so we can discuss options.

Tastings (if offered)

If a tasting is booked, it is arranged by appointment.

Venue access & practical requirements

You are responsible for ensuring that the Venue:

  • allows our staff to access the kitchen/service areas at agreed times

  • provides safe access, parking/unloading where possible, and reasonable working conditions

  • has adequate utilities where required (e.g., power/water) and a safe area for food service

If access is restricted, unloading is far, or facilities differ materially from what was described, additional time and costs may apply.

Marquee/outdoor events
For marquee/outdoor events, we may require a site visit or additional planning.

Event schedule & service timing

You are responsible for providing an accurate Event schedule (or nominating a coordinator) and ensuring the Event runs broadly to schedule.

If service is delayed due to circumstances outside our control (speeches running long, venue delays, supplier delays, weather, client decisions), we will do our best to adapt. Where delays extend staff hours significantly, additional charges may apply.

Staff & hours

Where service staff are included or added:

  • staff hours are based on the agreed schedule and scope

  • additional hours requested on the day may be charged at an hourly rate

Third-party suppliers

We may recommend or coordinate with third-party suppliers (including hire companies), but unless stated otherwise in writing:

  • you contract directly with them

  • their terms apply

  • they remain responsible for their products/services

We are not liable for third-party supplier failures outside our control.

Hire items (Tableware, glassware & linen) — Abbotts Event Hire

We work with Abbotts Event Hire for crockery, cutlery, glassware, linen and related hire equipment. All hire items remain the property of Abbotts Event Hire.

Option 1 (recommended): You book direct with Abbotts

This is the clearest and fairest route:

  • You book hire items directly with Abbotts and accept Abbotts’ Terms & Conditions.
  • Abbotts will take a refundable damage deposit based on the value of your hire order and will apply any loss/damage/cleaning charges in line with their process and terms.
  • This keeps responsibility clear and avoids post-event disputes.

Option 2: We coordinate the hire booking (admin fee applies)

If you prefer, we can coordinate the hire booking as an administration service for an additional fee.

  • You still remain the hirer under Abbotts’ terms (not us).
  • You remain responsible for the damage deposit and any missing/damaged item charges under Abbotts’ terms.
  • [NEEDS CONFIRMATION]: Admin fee amount and what is included (booking only vs. booking + logistics).

Care of hire items (to help avoid charges)

To help minimise loss/damage charges:

  • Ensure hire items are returned to the correct crates/boxes and handled carefully.
  • Keep linen dry and avoid candle wax and heavy staining.
  • Assign one responsible person at the end of the night to oversee packing/returns.

Abbotts’ Terms & Conditions apply to all hire items. Please read them before booking hire.

Damage to venue / property

You are responsible for venue-related charges that are not caused by our negligence (for example, guest damage, venue penalties, or third-party hire charges).

If our staff cause damage due to negligence, we will address this reasonably.

Cancellation & postponement

If you need to cancel or postpone your Event, please notify us in writing as soon as possible.

We may have already committed staff time and supplier costs; cancellation terms help cover those commitments.

Force majeure (events outside control)

We are not responsible for delays or failures caused by events outside our reasonable control (for example severe weather, road closures, utility failure, venue closure, or other major disruption).

If force majeure affects the Event, we will work with you to find a reasonable solution where possible.

Photos & marketing

We may take or use photos of food setups for our portfolio and marketing only where appropriate.

Website & content

Content on our website is provided for general information and may change over time.

Liability

Nothing in these Terms limits liability where it would be unlawful to do so (including liability for death or personal injury caused by negligence, fraud, or fraudulent misrepresentation).

Subject to the above, our liability is limited to the extent permitted by law and to the value of the Services you booked, and we are not responsible for indirect or consequential loss.

Complaints

If you have a concern, please contact us as soon as possible so we can investigate and resolve matters promptly.

Changes to these Terms

We may update these Terms from time to time. The Terms that apply are the ones in force at the time your booking is confirmed (unless changes are required by law).

Governing law

These Terms are governed by the laws of England and Wales, and the courts of England and Wales have jurisdiction.
